Privacy Policy
Effective 18 October 2026
Reserve by FnBees (“Reserve”) is a table reservation service for restaurants, operated by FnBees Pte. Ltd. (“we”, “us”). This policy explains what personal data Reserve handles, why, and the choices you have. It covers guests who book a table, and restaurant staff who use the Reserve staff app.
Who is responsible for your data
If you are a guest, the restaurant you book with decides how your booking details are used and is responsible for them. Reserve processes them on the restaurant’s behalf and only on its instructions. Questions about a booking, or requests about your data held by a restaurant, are best sent to that restaurant; we will also help if you contact us.
If you are restaurant staff, we are responsible for the account data we hold about you so that you can sign in.
What we collect
Guests
- Booking details you give us: your name, mobile number, email address (optional), party size, date and time, and any notes you add, such as allergies or a special occasion.
- Membership details: if the restaurant uses the FnBees point-of-sale system, we look up your mobile number in that restaurant’s FnBees customer records to recognise you as a member. We may receive your membership tier, number of visits, total spend, cashback and store credit with that restaurant. If you choose “Join membership”, we create a membership for you in FnBees.
- Verification codes: if you check your membership on the booking page, we send a one-time code to your mobile number.
- Visit details: whether you arrived, which table you sat at, and the amount spent, as recorded by the restaurant.
- Notes added by the restaurant, such as seating preferences or allergies, to serve you better on future visits.
- Bookings made through Google: if you book from Google Search or Maps (Reserve with Google), Google passes us the details you enter there: your name, phone number, email address, party size and time.
Restaurant staff
- Your name and work email address, which your manager adds so you can sign in, and your role at each restaurant.
- If you sign in with Google, we receive your Google account’s email address, name and profile picture. We use these only to confirm who you are and to match you to the staff account your manager created.
- A record of key actions, such as viewing or editing a guest’s profile, kept for security and accountability.
Technical data
Sign-in cookies that keep staff signed in, and standard server logs (such as IP address, browser type and time of request) used to run and secure the service. We do not use advertising or tracking cookies.
How we use it
- To take, confirm, change and manage your booking, and to give the restaurant what it needs to seat and serve you.
- To recognise you as a member of the restaurant’s loyalty programme and, when you are seated, to open your bill in the restaurant’s FnBees point-of-sale system with your membership attached so you earn your rewards.
- To let staff sign in and to control what each role can see. For example, hosts see a masked phone number and no spend figures.
- To keep the service secure, prevent misuse and fix problems.
We do not sell personal data, and we do not use it for advertising. We only send marketing if you have agreed to it, and any marketing comes from the restaurant, not from us.
Legal basis
We process guest data to carry out the booking you asked for, and staff data to provide the service the restaurant has signed up for. Joining a membership and receiving marketing are based on your consent, which you can withdraw at any time. Security records are kept because of our legitimate interest in protecting the service.
Who we share it with
- The restaurant you book with and its staff.
- FnBees point-of-sale, the restaurant’s own system for customers, orders and loyalty.
- Google, for bookings made through Reserve with Google, and for staff who sign in with Google.
- Service providers that host and run Reserve for us: Supabase (database and sign-in) and Vercel (web hosting), with data hosted in Singapore, and a messaging provider that sends verification codes. They may only use the data to provide their service to us.
- Authorities, where the law requires it.
Each restaurant’s data is kept separate from every other restaurant’s. One restaurant cannot see another restaurant’s guests.
Google user data
When staff sign in with Google, Reserve requests only your basic profile (email address, name and profile picture). We use it solely to sign you in. We do not access your Gmail, Calendar, Drive or contacts, we do not share Google user data with anyone else, and we do not use it for advertising. Reserve’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
The “Add to Google Calendar” button simply opens Google Calendar with your booking filled in. Reserve does not connect to your calendar.
How long we keep it
- Bookings are kept while the restaurant uses Reserve, so it can see its history, unless the restaurant or you ask us to delete them sooner.
- Guest records that are not linked to a membership are deleted automatically after 13 months with no visit or booking.
- Verification codes are deleted after 1 day, and records of messages from FnBees after 7 days.
- Staff accounts are kept until the restaurant removes you.
When a restaurant stops using Reserve, we delete its data.
How we protect it
Data is encrypted in transit. Connection keys to FnBees are encrypted when stored. Access is limited by role, and the database itself keeps each restaurant’s records apart. No system is perfectly secure, but we work to protect your data and will tell affected people and authorities about a breach where the law requires.
Your rights
Depending on where you live, you may ask to see the personal data held about you, correct it, delete it, or withdraw consent. This includes your rights under the personal data protection laws of Singapore, Malaysia, Thailand, Indonesia, the Philippines and Vietnam. Contact the restaurant or email us at support@fnbees.com. We will reply within 30 days. If you are not satisfied, you may complain to your local data protection authority.
International transfers
Reserve’s data is hosted in Singapore. If you book with a restaurant in another country, your details are transferred to Singapore, where they are protected as this policy describes.
Children
Reserve is not meant for children under 13, and bookings should be made by an adult.
Changes
We may update this policy. We will change the date at the top, and tell restaurants about significant changes in advance.
